My client, a leading provider of integrated building services and facilities management, is now seeking a highly organised Facilities Administrator to join their busy operations team based in North Co. Dublin.

Position Overview:


As the Facilities Administrator, you will support the daily operations of a busy facilities and engineering team, managing weekly timesheets, reconciling engineer hours for job costing, maintaining records, assisting with scheduling, and ensuring accurate data across multiple systems.

This role offers a €35,000 salary, a €3,000 completion bonus, and a 39-hour week (Mon–Thurs 8:00–5:00, Fri 8:00–4:00). Full training is provided.

This is a 12-month minimum fixed-term contract working directly with my client, offering strong stability, excellent benefits, and a supportive working environment — ideal for someone organised, detail-focused, and confident with MS Office and data handling.

Requirements:


• Strong IT skills with proficiency in Microsoft Office (Excel, Word, Outlook essential)
• Ability to source, analyse, and reconcile data from multiple systems
• Previous experience in administration, scheduling, or coordination (facility/engineering admin desirable but not essential)
• Excellent attention to detail and high accuracy in data entry
• Strong organisational and multitasking abilities
• Ability to communicate clearly with engineers, managers, and clients
• Team player with a proactive, problem-solving mindset

Responsibilities:


• Manage and process weekly timesheets
• Reconcile engineer hours for accurate job costing before submission to payroll
• Support scheduling, coordination, and administrative functions across the operations team
• Maintain and update internal systems, spreadsheets, and documentation
• Generate reports and assist with internal audits when required
• Liaise with engineers and management to ensure all job data is complete and accurate
• Assist with general office and administrative duties as needed
• Provide excellent internal support to ensure smooth delivery of services
