Contract Type : 12-Month Fixed Term Contract (Approx. 15 Months incl. Training & Handover)

Schedule : Monday–Friday | Full-Time | On-Site

We are seeking an experienced and detail-oriented Facilities Administrator to support a major facilities operation in Dublin 15. This role is ideal for a candidate with excellent organisational and numerical skills, strong Excel proficiency, and the ability to thrive in a dynamic and fast-paced environment.

This is a hands-on administrative role where you'll be the go-to for data accuracy, documentation, reporting, and job card reconciliation. The successful candidate will play a key part in ensuring smooth coordination between engineering, payroll, and facilities teams.

Responsibilities:


• Reconcile job cards daily and investigate discrepancies with payroll and engineers.
• Collaborate with site technicians and operations teams to track, document, and report job status.
• Maintain accurate data records, spreadsheets, and internal reporting tools.
• Own the administrative processes that support day-to-day facilities management.
• Liaise with multiple departments to ensure smooth workflow and effective communication.
• Prepare reports, summaries, and documentation for internal reviews and audits.

Requirements:


• Minimum 2 years’ experience in an administrative or data-focused role, ideally within facilities or engineering.
• High proficiency in Microsoft Excel – including formulas, sorting, and pivot tables.
• Strong attention to detail and accuracy – comfortable handling large volumes of data.
• Excellent organisational and problem-solving skills.
• Strong verbal and written communication skills.
• Ability to multitask and prioritise effectively in a busy environment.
