JOB DESCRIPTION

My client, A well-regarded company operating within the motor industry is currently seeking an Office Administrator / Compliance Coordinator to join their team in Dublin 22.

Position Overview:


As the Office Administrator / Compliance Coordinator, you will play a vital role in ensuring compliance, operational efficiency, and documentation accuracy across the business. The ideal candidate will bring at least 2 years of experience in vehicle recovery, logistics, or fleet operations and will be confident managing contractors, tracking job performance, and ensuring adherence to compliance standards. This is a Monday-to-Friday role offering a competitive salary of up to €40,000 per year, depending on experience

This is a permanent role, which will involve working for my client directly on a permanent basis, this is not an agency or short term role. I am assisting my client in finding suitable candidates to work for them directly.

Requirements:


Minimum 2 years’ experience in vehicle recovery, roadside assistance, fleet management, or logistics
• Experience supervising external contractors or patrol teams
• Familiarity with transport regulations, PAS43, CPC compliance, and VCRF standards
• Strong background in incident management, complaint handling, and job tracking
• Proficiency with systems such as APEX RMS, RCS, or similar dispatch/tracking platforms
• Confident in using Microsoft Office (Word, Excel, Power BI)
• Experience with invoice processing, cost reconciliation, and financial tracking
• Ability to analyse operational data and provide insight for decision-making
• Previous experience in audit preparation, compliance tracking, and documentation control
• Strong communication, organisational, and time management skills

Responsibilities:

 Operational Oversight & Compliance
• Investigate damage complaints and coordinate resolution
• Monitor daily job refusals, delays, and escalate where necessary
• Ensure job closures are completed and escalate outstanding issues
• Track contractor compliance with PAS43 and Garda Vetting
• Monitor completion of VCRF and other required documentation

System & Documentation Management
• Maintain operational documentation and audit records
• Perform initial audits and manage booking and questionnaires
• Update and monitor APEX & RCS systems for network performance
• Track contractor availability and manage roster accuracy
• Respond to APEX RMS messages and ensure timely job communication

Job & Issue Management
• Handle live job queries and ensure timely resolution
• Follow up on incomplete tows, drop-offs, or job delays
• Track and reduce job refusals by addressing root causes
• Generate daily and weekly performance reports for leadership
